PRRA Secretary Position – Job Description Currently filled

COMMITTEE:

  • Attend Committee meetings and take minutes. These are sent to all committee members

  • Keep the Committee list up to date with names, phone numbers and email addresses. (see template in information attached)

  • Keep PRRA Timetable up to date with planned speakers and ensure all committee members receive a copy. (see template in information attached)

  • Send out reminders to committee members a few days prior to meeting.

GENERAL:

  • Attend general meetings and take minutes. These can be simplified if Chairman’s report and speaker’s presentations are emailed to secretary. They can then be included as attachments.

  • Send minutes of general meetings to Ellen at Papamoa Post (ellen@papamoapost.co.nz )

  • Send out reminders to all members the week before and again the day before the meeting. This reminder should include date, time, location and speaker. Also reminder of the raffle.

  • Keep PRRA Membership list (Excel spreadsheet) up to date with resignations and new members. These are normally sent to secretary by Treasurer, or may be from the website.

  • BCC the minutes to all members. Important that emails to membership are sent BCC for privacy reasons.

  • Forward all relevant submissions etc to members if requested by chairman.

Prepare posters for occasions such as: AGM which must be advertised at least 2 weeks prior to the AGM. (see template in information attached). Forward other information to members as requested by Chairman.
